But if your resume isn’t appealing then the hiring manager wouldn’t even bother reading it, here comes the role of a cover letter.

 

What is a Cover Letter?

Your resume is a summary of the education skills, accomplishments, and experience of the individual. But a Cover letter is an additional document attached to the resume, which persuades the interviewer or the hiring manager to read your resume. Call it a cover letter or an introduction letter as it is going to introduce the applicant to the company and will convince them why this applicant is best suitable for the job/vacancy. You cannot use the same cover letter for every vacancy you apply for. The cover letter has to be unique and should match the requirements of the company or industry you are using for. A cover letter should not contain similar information as present in a resume but should convince the person reading it that you are a perfect fit for the seat. They should be that impressed that they move forward to read your resume, which will provide them information about your skills, education qualification, etc. Some companies mention the requirement for a cover letter, but even if they don’t, you can add a cover letter to your resume. It will show you put extra effort in work assigned to you and can add bonus points to your first impression.

 

Types of Cover letter

There are three categories included in Cover letters

1. Application Letter

2. Prospecting letter

3. Networking letter

 

Application letter

The other name for the application letter is the Cover letter, and it performs the same function as of a cover letter. Application letter also acts as an introduction to your resume explaining the hiring manager or interviewer, why you are suitable for this job, and how the company can benefit from you and not from the other applicants.

 

Prospecting Letter

Mostly we send our Resumes and Cover letter to companies when we see their advertisement for a job vacancy. But the case is different in the Prospecting letter. Letter of Interest or a Prospecting letter is sent to a company or an organization despite posting an advertisement to show the interest of the applicant towards the company. It mostly happens when people desire to work in a particular company. Hence they send a letter of interest to outcast their curiosity and desire towards a specific company.

 

Networking Letter

Recommendation and Networking are two very efficient tools in finding a job. Networking Cover Letter is written to professionals in the same field to introduce them to your potentials to seek a particular job. A networking letter can be written to someone in your close contacts, someone you have just met, and to someone you don’t know personally, yet he is very influential. The primary purpose of writing a Networking letter is to build your contacts and to make yourself more visible to the people. Visible here means different professionals should have an idea about your potential and skills so that if they notice a vacancy, they can contact you for the same.

 

What is the purpose of a cover letter?

The person who reviews your resumes receives many applications in a day. It is not humanly possible to read every resume word to word.

But when your cover letter is very appealing, it persuades the hiring manager or the interviewer to read your resume.

Your cover letter should be designed in such a way that it forces the hiring manager to read the entire resume and call you for an interview.

Adding a cover letter to your resume is an extra effort, it is not necessary to attach a cover letter unless or until the company doesn’t mention it in their requirements.

How to write a Cover Letter

Do not copy the same cover letter for each job vacancy you apply for.

Design a unique Cover Letter for every job application submitted.

Your cover letter should include your relevant skills, which will bring you forward for selection.

Don’t forget to mention why you are suitable for the company and what you can offer to them, which others can’t.

Make your cover letter so appealing that it forces the employer to read the entire resume. Otherwise, he wouldn’t even bother throwing it in the trash bin.

 

1. Choose the correct Template

Remember, when we used to decorate our projects in schools and colleges, we used to make them so appealing to grab extra points from our teachers.

One cannot deny that the presentation of your work motivates and persuades the other person to continue reading it.

Your Template should be right-sized and should have the correct format.

The presentation of your template will establish your first impression.

What if your cover letter is not correctly organized and lacks presentation, the hiring manager or the employer wouldn’t even bother reading it.

He will not just ignore the Cover letter but also the resume, so make sure you rock your presentation.

 

2. No use of To Whom It May Concern

This salutation is generally not preferable as it portrays a casual and lazy attitude of the writer.

Avoid using To Whom It May Concern in Emails or Cover letter.

Don’t be lazy; research about the person to whom you are writing. Your letter or email should contain the contact name of the person.

Your advertisement will possibly contain the name of the person, and in case it is not mentioned, make extra efforts to find it.

It might be tiring, but sure it will be worth it.

Do not mention the first name of the employer; just use Mr. or Mrs. with the last name.

Avoid the use of Sir and Madam too.

 

3. Include your Contact Details

Start your Cover letter with your contact details. On the top, the left-hand side includes your Email address and contact number.

Make sure your email address gives a professional impression.

Avoid using emails like powerdude12@gmail.com.

If you don’t have a professional email address, do create one and then mention it in the cover letter.

Your email id should be professional yet straightforward.

 

4. The receiver Contact details

Under your name and contact details, you should include:

        . Name of the person you’re writing to.

        . Position or the name of their company.

        . Contact details of the person or the company.

In case, you are not able to find the information after immense efforts you can use To Whom It May Concern

 

5. Mention about the company

After you have mentioned the contact details of the sender and the receiver, make mention of the post you are applying for.

You can mention the post in the subject column.

 

For example Subject: Applying for the vacancy of Class 12th Teacher.

You can also mention in the first paragraph of the body of the letter.

For example, I am writing in this letter regarding the vacancy of Class 12th Teacher in your school.

 

6. Include relevant skills and past experiences

You should include the relevant skills that are suitable for the job.

It should fulfil all the checkmarks of the desirable skills that are required for this particular job, which were also mentioned in the column of relevant skills in the advertisement.

Do mention your experience in the same profession as it adds bonus points to your impression.

You need to fully convince them that you are perfect for this job and also mention how your skills can benefit the company in a way that other candidates possibly cannot.

 

7. End on a polite note

You should always end your letter in a way where you mention about attaching the resume at the back.

Do mention that you will be waiting for their call and would love to meet them in person for an interview.

 

For example:

I have attached a copy of my resume. I look forward to hearing from you about this job’.
